Protocols and procedures

Back to overview 'procedures'

Procedure for admission of collections to the Dutch National Plant collection.

  • Application

A botanical garden can apply for admission for part of their collection [viz. specialisation] to the National Plant Collection [NPC] through the board of the Dutch Botanic Garden Collections Foundation [DBGCF].

  • Assessment, recommendation and final decision

The independent Collections Committee will assess whether a proposed collection adheres to the criteria formulated by the DBGCF and then report their findings to the Board of the DBGCF.

The Working Group, the consultative body of representatives of all NP collection institutes, will advice the Board based on the report of the Collections Committee.

The Board will take the final decision.

  • Objections

In case of a negative decision objections can be raised with the Board of the DBGCF within 2 months of the decision being made known.

The Board then reasseses the original decision in consultation with the Collections Committee and Working Group.

  • Admission to the Dutch National Plant collection

Admission of a collection will be formalised by representatives of the Botanical Garden and DBGCF Board signing the Collection Agreement.

  • Maintenance and periodical re-assessment

Reassessment will take place approximately once every 5 years. A decline of the collection by more than 10% in any given year, or 20% within the total period since admission, has to be reported to the DBGCF. The Collection Committee will evaluate the situation and will formulate recommendations or prerequisites under which the collection can remain as part of the NPC.

  • Withdrawal

    Withdrawal of a collection from the NPC can be for two reasons;

    1. A Botanical Garden is no longer willing to maintain a given collection.
    2. The collection no longer adheres to the criteria

In both cases the Collection Agreement will be annulated.
